We are committed to safeguarding the privacy of all parties who provide us with information.

The information you provide, including personal information, will be used by us primarily to provide consultancy services to you. This information will be kept confidential and secure, and our use of this information is subject to your instructions, the data protection regulations under which we are a data controller, and our duty of confidentiality.

You have the right to be informed and access the personal data that we hold about you. You have the right to rectify, erase, or obtain a copy of the data that we hold about you.   1. Why we process data

We rely on the following legal grounds to process your personal information, namely:

Consent– we may (but usually do not) need you consent to use your personal information. You can withdraw your consent by contacting us (see below).

Performance of a contract– we may need to collect and use your personal information to enter into a contract with you or to perform our obligations under a contract with you.

Legitimate interest– we may use your personal information for our legitimate interests, some examples of which are given above.

Compliance with law or regulation– we may use your personal information as necessary to comply with applicable law/regulation.

Please note that our work for you may require us to give information to third parties such as other professional advisers and business partners. You are responsible for ensuring the accuracy of all personal data you supply to us, and we will not be held liable for any errors unless you have advised us previously of any changes in your personal data.

  1. Outsource

In the interest of speed, or controlling cost, we may outsource some of our typing or other administrative functions to a third party. Confidentiality agreements are in place with any service providers we use, and they are obliged, as we are, to keep your data both confidential and secure.

  1. Credit decisions

We may need to make credit decisions about you, for example in relation to the payment of costs, and we may search the files of credit reference agencies who will record any credit searches on their file.

  1. Audits and quality checks

As we are regulated by the Information Commissioner’s Office UK, and are accredited under British Council as Agents & Counsellors, we are subject to audits and quality checks on our practice. These external firms or organisations are required to maintain confidentiality in relation to any files that they see in the course of their work.

Your Rights

Under the GDPR, you have a number of rights that you can exercise in certain circumstances. These are free of charge. In summary, you may have the right to:

  • Ask for access to your personal information and other supplementary information.#
  • Ask for correction of mistakes in your data or to complete missing information we hold on you;
  • Ask for your personal information to be erased, in certain circumstances.
  • Receive a copy of the personal information you have provided to us or have this information sent to a third party. This will be provided to you or the third party in a structured, commonly used and machine-readable format, e.g. a Word file;
  • Object at any time to processing of your personal information for direct marketing.
  • Object in certain other situations to the continued processing of your personal

information.

  • Restrict us processing of your personal information in certain circumstances.
  • Request not to be the subject to automated decision-making which produces legal

effects that concern you or affects you in a significant way.

How long we keep personal information:

We will keep personal information in accordance with our data retention practices, which apply appropriate retention periods for each category of personal information. In setting retention periods we take account of the purposes for which the personal information was collected, legal and regulatory obligations on us to retain information, limitation periods for legal action and our business purposes.

How to make a complaint?

The GDPR also gives you the right to lodge a complaint with the Information Commissioners’ Office if you are in the UK, or with the supervisory authority of the Member State where you work, normally live or where the alleged infringement of data protection laws occurred.
